Terms and Conditions
Before you book anything through Outer Reef Surf Travel, you will need to make sure you read and agree with our Terms and Conditions. Basically it’s all the legal stuff to make sure you know what you’re signing on for, what your rights are and how we work as a company.
OUTER REEF SURF TRAVEL – GENERAL BOOKING TERMS AND CONDITIONS
Please read these Terms and Conditions carefully before making a booking with us. By paying a deposit or otherwise confirming a booking, you agree to be bound by these Terms and Conditions, which form the agreement between:
Outer Reef Surf Travel Ltd (Outer Reef, we, us, our)
you, the client (you, your).
No variation to these Terms and Conditions will be effective unless agreed in writing and signed by a person authorised by Outer Reef.
These Terms apply to all Outer Reef Surf Travel products, including but not limited to surf trips, surf camps, retreats, coaching holidays, and adventure travel packages in the UK and overseas.
1. ROLE OF OUTER REEF / AGENCY STATUS
1.1 In many cases, Outer Reef acts as an agent for third-party travel service providers, including but not limited to accommodation providers, surf camps, transport operators, charter boat operators, activity providers, and local partners (Service Providers).
1.2 Our obligation is to arrange and confirm travel bookings on your behalf and to put in place the relevant contracts between you and the Service Providers. Your contract for the provision of those services is directly with the relevant Service Provider, not with Outer Reef.
1.3 We do not control, own, or operate the Service Providers and we do not make or give any warranty or representation regarding their standards, safety, or suitability beyond information supplied to us by them.
1.4 All bookings are made subject to the terms, conditions, and limitations of liability imposed by the relevant Service Providers. Your legal recourse in respect of the provision or non-provision of services lies against the Service Provider and not Outer Reef.
1.5 If, for any reason, a Service Provider is unable or unwilling to provide the services for which you have contracted, your remedy lies against that Service Provider and not Outer Reef. We will, however, use reasonable efforts to assist you in communicating with the Service Provider and seeking an appropriate remedy where possible.
2. PRICES, DEPOSITS AND PAYMENT
2.1 All prices are subject to availability and may be withdrawn or varied without notice prior to your booking being confirmed and paid in full.
2.2 Prices may be quoted in GBP or in local currencies depending on the destination. Where currency conversion is required, prices may be subject to exchange rate fluctuations beyond our control until full payment has been received.
2.3 A non-refundable deposit is required to secure your booking. The deposit amount and due date will be confirmed at the time of booking. We will not process or confirm your booking until the deposit has been received.
2.4 Payment of a deposit constitutes acceptance of these Terms and Conditions on behalf of all persons named on the booking.
2.5 Unless otherwise stated in your booking confirmation, full payment is required no later than 90 days prior to departure. Some Service Providers may require earlier payment; if so, this will be advised at the time of booking and will apply to your booking.
2.6 Bookings made within 90 days of departure (or any earlier deadline set by a Service Provider) must be paid in full at the time of booking.
2.7 Certain flights, special offers, or promotional fares may be instant purchase and require full payment immediately. These fares may be non-refundable and non-changeable.
3. CANCELLATIONS AND CHANGES BY YOU
3.1 All deposits are strictly non-refundable.
3.2 If you cancel your booking, you must notify us in writing as soon as possible. The date we receive your written notice will determine the applicable cancellation charges.
3.3 In addition to the non-refundable deposit, the following general cancellation terms will usually apply (unless the Service Provider’s own terms are stricter):
More than 90 days before departure:
– Deposit forfeited (non-refundable)
– Any additional payments may be refundable or partially refundable, subject to Service Provider terms and any fees.
Within 90 days of departure:
– Up to 100 percent of the total trip cost may be non-refundable.
3.4 Some bookings may be partly refundable, but cancellation charges will always apply and are determined by the Service Provider’s policies. Outer Reef cannot guarantee any refund until we have received the relevant funds back from the Service Provider.
3.5 In the case of airline refunds, processing times are determined by the airline and may take several weeks or longer.
3.6 Fees may apply where a booking is changed, amended, or reissued, including name changes, date changes, or itinerary changes. These may include Outer Reef administration fees and any fees charged by the Service Provider.
3.7 We strongly recommend that you obtain comprehensive travel insurance that covers cancellation, curtailment, illness, accident, and COVID-19 related circumstances.
4. CANCELLATIONS AND CHANGES BY OUTER REEF OR SERVICE PROVIDERS
4.1 Outer Reef and or the Service Providers reserve the right to cancel or amend your booking where necessary due to operational reasons, safety concerns, insufficient numbers, or events beyond our reasonable control.
4.2 Where a significant change or cancellation is made prior to departure, we will use reasonable efforts to:
Offer a suitable alternative arrangement, or
Arrange a credit or refund from the Service Provider where permitted under their terms.
4.3 Outer Reef is not responsible for any additional costs incurred by you (such as flights, transfers, visas, or insurance) as a result of any change or cancellation by a Service Provider.
5. FORCE MAJEURE
5.1 Outer Reef will not be liable for any loss, cost, damage, delay, change to, or cancellation of your trip due to Force Majeure.
5.2 Force Majeure means any event or circumstance beyond the reasonable control of Outer Reef or the Service Providers, including but not limited to: war, threat of war, riot, civil strife, terrorist activity, industrial dispute, disease, epidemic or pandemic (including any future circumstances relating to COVID-19 or similar), natural or nuclear disaster, adverse weather or ocean conditions, government travel bans or restrictions, closure of borders, cancellation of an event by a tour operator, fires, strikes, or similar events.
5.3 In the event of Force Majeure, your trip may be postponed, amended, or cancelled. Any credits, postponements, or refunds will be subject to the policies of the relevant Service Providers. Additional costs arising from Force Majeure (such as extra accommodation, meals, or transport) will be your responsibility.
6. COVID-19 AND OTHER HEALTH-RELATED TRAVEL RESTRICTIONS
6.1 Many accommodations, surf camps, and operators have updated their terms due to COVID-19 and similar health events. If you are unable to travel due to COVID-19 related restrictions or other Force Majeure events, your trip may be:
Postponed to a later date (often within 12 months), or
Subject to a credit with the Service Provider, in line with their policies.
6.2 Future travel dates may be priced differently. Seasonal pricing, exchange rates, and operator rate changes may result in higher costs for postponed trips. Any increase in costs imposed by the Service Provider will be passed on to you and is not the responsibility of Outer Reef.
6.3 We strongly recommend that your travel insurance includes cover for COVID-19 and other pandemic-related circumstances, including quarantine, trip interruption, and any additional costs incurred.
7. TRAVEL INSURANCE
7.1 Comprehensive personal travel insurance is strongly recommended as a condition of booking any Outer Reef Surf Travel package.
7.2 Many of our partners and Service Providers require valid travel insurance as a condition of participation in surf, water, and adventure activities.
7.3 It is your responsibility to ensure that you are adequately insured for the full duration of your trip, including but not limited to:
Trip cancellation and curtailment
Medical expenses, illness, and injury
Death and repatriation
Loss, theft, or damage to baggage and personal items
Surfing and water sports, including higher-risk activities such as boat trips, reef breaks, coasteering, and other adventure activities
COVID-19 and other pandemic-related events where possible.
7.4 Outer Reef is not responsible for any loss suffered by you due to your failure to obtain suitable travel insurance.
8. TAXES, FEES, AND LOCAL CHARGES
8.1 Certain airport taxes, local government taxes, resort fees, and service charges may be mandatory in some countries and are subject to change without notice.
8.2 Additional surcharges may apply to some bookings, particularly where flights or routes involve specific countries or regions.
8.3 The exact amount of taxes and surcharges can often only be confirmed at the time of final payment or ticket issue, as they fluctuate and may be affected by exchange rates.
8.4 Any local taxes, park fees, or similar charges payable in destination are your responsibility unless expressly included in your booking confirmation.
9. HEALTH, FITNESS, AND SAFETY
9.1 It is your responsibility to ensure that you are aware of any health requirements for your destinations and that you obtain any recommended or required vaccinations, medications, or medical advice prior to travel.
9.2 We strongly recommend that you consult your doctor or travel clinic regarding the health requirements for your trip, including vaccinations, malaria prophylaxis, and any other relevant health considerations.
9.3 Surfing, paddleboarding, coasteering, and related water and adventure activities involve inherent risks, including but not limited to injury, drowning, collision, and exposure to unpredictable ocean and weather conditions. By participating, you accept these risks and agree to follow all safety instructions given by Outer Reef staff and Service Providers.
9.4 You must inform us and the Service Providers of any medical conditions, disabilities, or special requirements that may affect your participation in activities or your travel arrangements. We will do our best to accommodate such needs, but cannot guarantee that all requirements can be met.
10. PASSPORTS, VISAS, AND TRAVEL DOCUMENTATION
10.1 It is your responsibility to ensure that you hold a valid passport, visas, and any other required documentation for your trip.
10.2 Many countries require that your passport has at least six months’ validity from the date of entry. Failure to meet entry requirements may result in you being refused travel or entry, and any associated costs will be your responsibility.
10.3 Any fines, penalties, costs, or expenses incurred as a result of your failure to comply with immigration, customs, health, or other government regulations will be your sole responsibility.
10.4 We can provide general information about passport and visa requirements but do not warrant the accuracy or completeness of such information. We accept no liability for any loss or damage you may suffer in reliance on information supplied by us or by any external visa advisory service.
10.5 If we assist you in obtaining visas or other travel documents, additional service fees may apply.
11. DUTY OF CARE AND OPERATOR STANDARDS
11.1 Outer Reef has extensive experience in surf coaching, surf travel, and adventure operations. We use this experience to select and work with Service Providers that we believe meet appropriate standards for our guests.
11.2 While we strive to work only with reputable operators, we cannot inspect or control every aspect of every operation we represent. We rely on our own experience, our network, and feedback from guests and partners.
11.3 We conduct reasonable due diligence on our partners and may use internal checklists and criteria to assess safety, quality, and guest experience. However, no system can guarantee that issues will never arise.
11.4 Outer Reef is an agent working between you and the Service Providers. As such, we are not responsible or liable for any act or omission of the Service Providers, in line with applicable travel and consumer laws.
11.5 We are committed to supporting our guests. If you experience a problem with a Service Provider, we will use our best efforts and influence to help you resolve the issue and to encourage the operator to act fairly and reasonably.
12. LIABILITY
12.1 To the maximum extent permitted by law, Outer Reef does not accept any liability of any nature, whether in contract, tort including negligence, or otherwise, for the acts, omissions, or defaults of any third-party Service Provider over whom we have no direct control.
12.2 Where liability cannot be excluded, our liability is limited to the value of the travel arrangements purchased through Outer Reef.
12.3 We do not accept liability for any injury, illness, death, damage, loss including consequential or indirect loss, delay, additional expense, inconvenience, or loss of enjoyment caused directly or indirectly by any event which is beyond our control or which is not preventable by reasonable diligence on our part.
12.4 Ocean and weather conditions are inherently unpredictable. We do not accept any responsibility for oceanic or climatic conditions that do not meet your expectations or exceed your abilities. You are responsible for honestly assessing your own skill level and fitness and for following the guidance of qualified instructors and guides.
12.5 All surf, water, and adventure activities are undertaken entirely at your own risk and choice. You may be required to sign additional waivers or assumption-of-risk forms by Outer Reef or Service Providers as a condition of participation.
13. PAYMENTS AND CREDIT CARD TRANSACTIONS
13.1 Payment methods and any applicable surcharges will be advised at the time of booking. Where surcharges apply to credit or debit card payments, these will be clearly disclosed before payment is taken.
13.2 If, for any reason, a Service Provider is unable to provide the services for which you have contracted, your remedy lies with that Service Provider and not Outer Reef. We will, however, assist you in seeking any applicable refund or credit from the operator where possible.
14. PRIVACY AND DATA PROTECTION
14.1 Outer Reef is committed to protecting the privacy and confidentiality of your personal information.
14.2 We will collect, store, and process your personal data only as necessary to arrange your travel, provide services, and comply with legal obligations. This may include sharing your details with Service Providers, insurers, and other relevant third parties involved in your booking.
14.3 We will not sell your personal information to third parties. We will only share your information with third parties where necessary for your booking, where you have given consent, or where required by law.
14.4 Travel documents are usually issued electronically to the email address you provide at the time of booking. It is your responsibility to ensure that your contact details are correct and kept up to date.

15. TRAVEL ADVICE AND LOCAL CONDITIONS
15.1 You are responsible for checking the latest travel advice for your destination, including safety, health, and entry requirements.
15.2 For UK travellers, we recommend consulting the Foreign, Commonwealth and Development Office website for up-to-date travel advice.
15.3 Local laws, customs, and conditions may differ significantly from those in your home country. You agree to comply with all local laws and regulations and to follow the reasonable instructions of Outer Reef staff and Service Providers.
16. BEHAVIOUR AND CONDUCT
16.1 Outer Reef and the Service Providers reserve the right to refuse service or remove you from any trip or activity if, in our reasonable opinion, your behaviour:
Poses a risk to your own safety or the safety of others,
Causes significant distress, damage, or annoyance to other guests, staff, or local communities, or
Involves illegal activity or serious misconduct.
16.2 In such cases, no refund will be provided and you will be responsible for any additional costs incurred as a result of your removal from the trip.
17. GOVERNING LAW AND JURISDICTION
17.1 These Terms and Conditions and any disputes arising out of or in connection with them shall be governed by and construed in accordance with the laws of England and Wales, unless otherwise required by mandatory consumer protection laws in your country of residence.
17.2 You agree to submit to the exclusive jurisdiction of the courts of England and Wales in relation to any dispute, claim, or matter arising from or connected with your booking or these Terms and Conditions.
